Job workflows: the steps every job runs for you
Set up the emails, contracts, questionnaires and reminders each kind of job needs once, and every job of that kind runs them on time.
A workflow is your own checklist that runs itself. For example: when a wedding is booked, send the contract; three days later remind them if it isn't signed; two weeks before the shoot send the questionnaire; the day after the shoot move the job to Editing.
How one runs
- It starts when a job moves to the stage you choose (Booked unless you change it), for the kinds of shoot you pick, or every kind.
- Each step is timed from that day or from the shoot date. Steps with a day count go at 9am your time; a step set to go "as soon as it starts" goes within about fifteen minutes.
- Move a shoot date and every step timed from it moves too.
- A step can skip itself if the contract is already signed, the invoices are paid or the questionnaire is filled in.
- A step whose time had already passed when the workflow started is skipped, never sent late, so starting one on a job whose shoot is next week doesn't send last month's emails.
On the job
The shoot page shows each running workflow with every step and what became of it. Stop ends one on that shoot; Start on this shoot runs one that didn't start on its own, such as on a job booked before you made it.
Nothing goes out until you switch a workflow on, and switching one on never reaches back to jobs that were already at that stage. Importing your history from another system never starts one either.
