Bring your existing email into Lumi HQ

Import past email with your clients, and keep new email from them coming in every five minutes.

Replies to emails you send from Lumi HQ come back on their own. Two kinds of email don't: everything you exchanged with clients before you started using Lumi HQ, and a client who writes fresh to your own address instead of replying. Connecting your mailbox brings both in, filed under the right client.

Connecting your mailbox

  1. Enter your email address, your mail server (your host lists it as the IMAP server) and its port — usually 993.
  2. Use an app password, not your normal one. Gmail, Microsoft 365 and Yahoo all require one for this kind of connection, the same as for sending from your own address.
  3. Press Test connection, tick the folders to look through (your inbox and your sent mail is usually right) and pick a start date.
  4. Press Save connection.

Your history, once

Import email history reads everything from your start date onward and brings in each email between you and someone who's already a client in Lumi HQ. It runs in the background and can take a while on a big mailbox. Starting it again is safe — anything already brought in is skipped.

New email, every five minutes

Turn on Check for new email every 5 minutes and Lumi HQ keeps looking from then on, so a client who emails your own address shows up in your Inbox and on their profile without you forwarding anything. The setting shows when it last checked, and Check now looks straight away.

Only your clients, and nothing changes in your mailbox

Email from anyone who isn't a client in Lumi HQ is left where it is — add them as a client first if you want their email to come in. Nothing is marked read, moved or deleted in your own mailbox, and a reply that already arrived through Lumi HQ isn't brought in a second time.

Careful

Attachments aren't brought across from your mailbox — the email is, and the file stays in your own email. And if you change your email password, the connection stops: Settings → Email sending shows Reconnect needed, and what's already imported stays put.
